To provide guidance from the Board to the management company on the monthly Board Packet.
This policy applies to the management company employed by the Pineloch Community Association.
- The management company will provide the Board with a packet of information required to conduct the monthly Board meeting.
- The agenda for the packet is provided by the Board President based upon input from the management company and members of the Board. The Board President will provide the management company with the agenda prior to the weekend before the board meeting. The President shall have the right to add items to the agenda prior to the meeting.
- The management company shall deliver a copy of the board packet to each member of the Board of Directors no later than the weekend before the regular Board meeting.
- Actions requiring Board decision will be separate line items on the Agenda.
The monthly Board packet shall include, but not be limited to, the following written reports:
- Finances Report -- Balance Sheet, Income Statement, Delinquent Accounts Listing, Expense Statement, and Budget Variances.
- Administration Report -- Deed restriction report to include the violations of the legal documents and actions taken on the violations, security problems, insurance claims, status of maintenance and repairs in progress, phone logs, and bid tabulation when necessary.
- Maintenance Report -- Site Inspection reports of Association common areas, calendar presenting scheduled maintenance activities for the upcoming months, progress of subcontractors, potential problems with grounds and building maintenance, and recommendation for future action.
- Other Reports -- The format of the other reports as may be requested by the Board of Directors shall be as determined by the Board.
