COMMUNICATION (WEB AND NEWSLETTER)

PURPOSE

To set forward guidelines to communicate important issues and other community related items to the homeowners of the Pineloch community.

SCOPE

This policy applies to Board Members of the Pineloch Community Association and volunteers in association with Board Members of the Association.

POLICY

General Guidelines (Applicable Across All Media Distribution)
  1. Material shall be distributed to the community in any form deemed to be appropriate by the Board of Directors.  In general, the information should consist of current issues or events taking place within our community.

  2. Advertisement or solicitation for commercial purposes is forbidden with the exception of paid-for ads in the newsletter.
Guidelines Specific to Newsletter
  1. The Pineloch Community Association shall publish a newsletter.  The newsletter is designed to be a publication informing PCA residents of actions taken or to be taken by the PCA Board of Directors.  In addition, the newsletter may cover topics germane to the PCA membership, including but not limited to:

    a.  Deed restrictions.
    b.  ACC Guidelines, bylaws and/or policies.
    c.  Proxy ballots and notices of elections.
    d.  Warnings to PCA members who have delinquent maintenance fees.
    e.  Schedule of heavy waste pickup.
    f.  Other areas of interest, such as construction, entrance groundskeeping, park hours, hours and days of pool use, etc.
    g.  News from committees.
    h.  Events scheduled to occur on PCA Common Grounds.

    No letters to the Editor will be published.

  2. Communication Chair is responsible for selecting a volunteering Editor.

  3. The Editor (or The Board, in the absence of an Editor) is in charge of all news, information, and photos that are collected on a month-to-month basis.  All selected material collected by the Editor is turned over to the publisher (who is hired by the PCA Board) on or about the 10th of each month preceeding the month in which the newsletter is published.  It is the Editor's responsibility to select material deemed appropriate for the community.  When in doubt, the Editor should seek opinions from Board members.

  4. The publisher will have a few days to draft the newsletter for the Editor to review for final publication and distribution no later that the 27th of the month prior to expected publication.  During the final review, the Editor may add an article or two such as a board summary meeting or last minute article, which contains information related to board discussions.
Guidelines Specific to Web
  1. Web master volunteer is to be selected by Editor and/or Communication Chair.  This person is responsible for all manual additions and deletions to web site.  Information to be added or requests for deletion should be directed through Editor or Communication Chair.

  2. Newsletter information sent to the publisher will also be sent to the web master for web site posting.  This is the Editor's duty.
Other
  1. The following are to be used on a case-by-case basis to be determined by the Board (or if unavailable for a vote, then the President along with Communication Chair): Posting Notices, Distributing Flyers, Event Boards or other media.

  2. It is generally understood that the Board can make changes to this policy on a temporary or permanent basis at any time, and has ultimate discretion over what material should or specifically should not be published.
